VixPro AI is a B2B enterprise platform for AI-powered IT infrastructure operations. We process your server and infrastructure data solely to deliver our services. We do not sell your data, we do not use it for advertising, and we do not share it with third parties except as necessary to provide and improve the VixPro AI service. Your trust is the foundation of our business.

1. Privacy Overview

This Privacy Policy describes how Islemonics Studios LLC ("VixPro AI," "we," "us," or "our") collects, uses, stores, and protects information when you use the VixPro AI platform, including our web application, Go Agent software, API services, and related infrastructure monitoring tools (collectively, the "Service").

VixPro AI is designed for business-to-business (B2B) use. Our customers are organizations that deploy our platform to monitor and manage their IT infrastructure. This policy applies to authorized users of customer organizations as well as visitors to our website.

By using VixPro AI, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree with this policy, please do not use our Service.

What We Don't Do

  • We do not sell your data to third parties
  • We do not use your data for advertising or marketing profiling
  • We do not collect consumer personal data -- VixPro AI is exclusively B2B software
  • We do not retain server diagnostic data beyond operational need
  • We do not train AI models on your proprietary infrastructure data
  • We do not share your data with other customers -- strict multi-tenant isolation is enforced

2. Data We Collect

We collect the following categories of information to provide and improve the VixPro AI Service:

2.1 Account Information

  • Name, email address, and authentication credentials
  • Organization name, billing information, and subscription plan
  • Role and permission assignments within your organization
  • Single Sign-On (SSO) tokens via Microsoft Entra ID, where configured

2.2 Organization Data

  • Organization settings, preferences, and configuration
  • Team member roles and access permissions
  • Alert routing rules, webhook configurations, and notification preferences
  • Runbooks and operational playbooks created within the platform

2.3 Server & Infrastructure Data

  • Server health metrics (CPU, memory, disk, network utilization)
  • Service and process status information
  • Diagnostic command outputs collected by the VixPro Go Agent
  • System logs and alert data forwarded from monitoring tools
  • Server hostnames, IP addresses, and OS information

2.4 Usage & Analytics Data

  • Feature usage patterns and interaction logs within the dashboard
  • Browser type, device information, and session metadata
  • Pages visited, actions taken, and timestamps

2.5 AI Operation Logs

  • Records of AI-driven analysis and remediation actions
  • Tool execution logs (which diagnostic tools were run, results, and duration)
  • AI model usage, token counts, and associated costs per operation
  • Approval and escalation records for controlled operations

3. How We Use Your Data

We use the data we collect for the following purposes:

3.1 Service Delivery

To provide, operate, and maintain the VixPro AI platform, including authenticating users, managing organizations, and delivering the dashboard and API services.

3.2 Alert Processing & Incident Response

To receive, process, and route alerts from your infrastructure monitoring systems, and to trigger automated AI analysis and remediation workflows.

3.3 AI-Powered Analysis

To send alert and server diagnostic data to AI models (Anthropic's Claude) for intelligent analysis, root-cause determination, and remediation recommendations. This is the core functionality of VixPro AI.

3.4 Operational Reporting

To generate daily summaries, incident reports, change records, and cost tracking dashboards that help your team understand infrastructure health and AI operations.

3.5 Platform Improvement

To improve the reliability, performance, and features of the VixPro AI platform. We may use aggregated, anonymized usage patterns to inform product development, but we never use identifiable customer infrastructure data for this purpose.

4. Server & Infrastructure Data

The VixPro Go Agent is software deployed on your servers to collect operational data and execute diagnostic tools. Understanding how this data is handled is central to your privacy.

What the Go Agent Collects

  • System health metrics: CPU usage, memory utilization, disk space, network I/O
  • Service and process status: running services, systemd unit states, container health
  • Diagnostic command outputs: results from approved tools (e.g., log inspection, connectivity checks)
  • Alert payloads: incoming alerts from monitoring tools (Grafana, Prometheus, Datadog, etc.)

Important: How Server Data Is Handled

  • Server diagnostic data is collected only when triggered by an alert or user-initiated request
  • Data is used exclusively for AI analysis and operational reporting within your organization
  • Diagnostic command outputs are not retained beyond the operational need (see Data Retention)
  • All tools executed by the agent are subject to your organization's permission policies and approval workflows
  • The Go Agent communicates over encrypted channels and authenticates with per-organization API keys

5. AI Data Processing

VixPro AI uses Anthropic's Claude models to analyze alerts, interpret server diagnostics, and recommend or execute remediation actions. Here is how your data interacts with AI:

5.1 Data Sent to AI Models

When an alert triggers AI analysis, VixPro sends the alert payload, relevant server diagnostic outputs, and contextual information (server name, service history, runbook instructions) to Anthropic's Claude API for processing.

5.2 Anthropic's Data Handling

Data sent to Anthropic is processed under their enterprise API terms. Anthropic does not use data submitted via their API to train their models. API inputs and outputs are retained by Anthropic only for abuse and safety monitoring purposes, as detailed in Anthropic's enterprise data policy.

5.3 No Model Training on Your Data

Neither VixPro AI nor Anthropic uses your infrastructure data, server diagnostics, or alert content to train, fine-tune, or improve AI models. Your data is processed in real-time for analysis and is not incorporated into any model.

5.4 AI Cost Tracking

We track AI model usage (token counts and costs) per operation to provide transparency into your AI spend. This data is accessible in your dashboard and is scoped to your organization.

VixPro AI integrates with the following third-party services to deliver our platform. Each provider processes data only as necessary for their role in our service:

We carefully vet all third-party providers for security practices and data handling policies. We do not share your data with any provider beyond what is necessary to deliver the VixPro AI Service.

7. Data Retention

We retain your data only as long as necessary to provide our services and comply with legal obligations. Specific retention periods are as follows:

8. Data Security

We implement comprehensive security measures to protect your data at every layer of the VixPro AI platform:

Encryption

  • All data is encrypted in transit using TLS 1.2+ (HTTPS everywhere)
  • Data at rest is encrypted using AES-256 encryption in our database infrastructure
  • Go Agent communications use authenticated, encrypted channels

Access Control

  • Row-Level Security (RLS) enforces strict multi-tenant data isolation at the database level
  • Organization-scoped queries ensure users can only access their own organization's data
  • Role-based access control (RBAC) within organizations
  • Multi-factor authentication (MFA) support for user accounts
  • Enterprise SSO via Microsoft Entra ID for centralized identity management

Operational Security

  • Tool permission system with category-based approval workflows for sensitive operations
  • Audit trails for all AI operations, tool executions, and administrative actions
  • SOC 2-ready security practices and controls
  • Regular security assessments and vulnerability monitoring
  • Incident response procedures for security events

9. Your Privacy Rights

Depending on your location, you may have the following rights regarding your personal data. We honor these rights regardless of your jurisdiction where technically feasible:

Right of Access

You may request a copy of the personal data we hold about you and your organization. We will provide this data in a commonly used, machine-readable format.

Right to Correction

You may request correction of inaccurate personal data. You can also update most account information directly through the VixPro AI dashboard.

Right to Deletion

You may request deletion of your personal data and account. Upon deletion, we will remove your data within 30 days, except where retention is required by law.

Right to Data Export

You may request an export of your organization's data, including incident records, AI operation logs, and configuration data, in a structured, machine-readable format.

CCPA (California)

California residents have the right to know what personal information is collected, request deletion, and opt out of the sale of personal information. We do not sell personal information. To exercise your CCPA rights, contact us at privacy@vixpro.ai.

GDPR (European Economic Area)

If you are in the EEA, you have additional rights including the right to restrict processing, the right to object to processing, and the right to lodge a complaint with a supervisory authority. Our lawful basis for processing is the performance of our contract with your organization and our legitimate interests in providing and improving the Service.

10. International Data Transfers

VixPro AI is operated from the United States. If you access our Service from outside the United States, your data may be transferred to, stored, and processed in the United States or other countries where our service providers operate.

When transferring data internationally, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) and ensure our third-party providers maintain adequate data protection measures consistent with applicable law.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.

For material changes, we will provide at least 30 days' notice before the changes take effect. Notice will be provided via email to the organization administrator and/or a prominent notification within the VixPro AI dashboard.

For non-material changes (such as clarifications or formatting updates), we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically.

Your continued use of the Service after any changes to this Privacy Policy constitutes your acceptance of the updated policy.
